The Executive Assistant to the VP, HR will provide administrative support and is responsible for coordinating meetings, events, arranging travel and running reports for multiple direct reports to the VP. Successful candidates will be forward thinking, anticipate needs and able to work well in a fast-paced environment, either independently or as a collaborative team.at ABIOMED. Duties will include calendar management, travel arrangements, project management, and handling confidential information.
Primary Duties and Responsibilities:
Provide administrative support to the VP of Human Resources
Prepare agendas, coordinate department specific meetings and presentations, attend meetings and subsequently follow-up on significant and timely matters
Coordinate all national and international travel and speaking arrangements; prepare expense reports accordingly
Provide administrative, telephone support and calendar management to other HR members as needed
Maintain all departmental files, as well as update and maintain procedural files
Take and transcribe minutes of various meetings
Prepare PowerPoint presentations as needed
Maintain departmental organizational chart
Provide administrative support such as coordination of files, purchase orders, schedules and special projects to the VP's direct reports, as well as provide assistance to all departmental colleagues
Interact with all other departments to effectively and efficiently conduct special projects and assignments
Order office and other supplies as needed.
Assist other administrative assistants and clerical staff as needed
Provide back-up receptionist support as required.
Skills/Requirements
Job Qualifications:
Bachelor Degree required
Must have a minimum of five years of prior administrative experience supporting at the VP level
Able to work independently and handle a wide variety of situations, including conflict resolution and troubleshooting issues
Very strong proficiency in Microsoft Excel and Powerpoint is required, with a creative eye for improving existing presentations
Excellent verbal/written communication, organizational, prioritization, time-management skills and attention to detail required
Must have strong initiative, self-motivation and high standards
Demonstrate a professional, positive, and approachable demeanor in working and effectively communicating with a diverse group of people
Exercise discretion, judgment, tact and poise in handling highly sensitive and confidential information
Exceptional organizational, time management and problem-solving skills
Ability to juggle multiple tasks with accuracy and achieve deadlines under pressure
Must have outstanding attention to detail
Ability to adapt to changing priorities in a deadline-driven environment
Must be proactive and have strong follow-through
