Job Description

      The Middle School Office Coordinator provides general clerical support, ensuring the efficiency of the Middle School Office. He/she will serve as a member of the Middle School team and will work under the supervision of the Middle School Principal.

Primary Responsibilities:

?      Maintains, updates and initiates actions of regular school calendar events

?      Acts as reception for Middle School Office by answering telephone, providing information/assistance, scheduling appointments and greeting visitors

?      Maintains PowerSchool database management

?      Produces Middle School Student and Faculty Bulletin

?      Maintains and updates Middle School Documents (8 Day Rotation Schedule, Master Schedule, Advisory Team and Department Lists, Emergency Folders)

?      Manages student attendance

?      Produces Academic Alerts, Attendance and Tardy Reports

?      Secures facilities bookings and prepares logistics for special events and meetings

?      Arranges Sub Folders for each teacher and maintains them with necessary updates

?      Updates school website and Connect page with current information

?      Coordinates with Communications office to produce Middle School messages in ASD News

?      Maintains overall management of the Middle School Office

?      Works with K-12 substitute coordinator and assists in maintaining relevant up-to-date reports and lists

?      Maintains and uses student databases to access and deliver information

?      Organizes Middle School events

?      Supports the annual budgeting process including preparing yearly purchase orders

?      Responds to telephone inquiries concerning general Middle School activities

?      Assists in planning and scheduling department activities; maintains department/office records and fiscal information for control purposes, such as student and employee databases, transcripts, correspondence, tests, advisory certificates and probation reports

?      Prepares school profile and other duties including, but not limited to, confidential memoranda, exams, class outlines, reports, schedules, and letters

?      Organizes and maintains internal records and filing systems

?      Handles sensitive and confidential student records information

?      Assists principals in establishing and maintaining student records

?      Compiles, records and updates routine reports as necessary

Required Qualifications:

?      Minimum of a high school diploma or equivalent

?      College or professional degree preferred

?      Previous experience working in an educational institution preferred

?      Powerschool and Google Suite related experience would be highly advantageous

?      Tactful and professional front office skills

?      English speaker with exceptional verbal and written communication skills

Knowledge, Skills & Abilities:

?      Works well under pressure, with the ability to take initiative and maintain a flexible schedule

?      Well-organized, detail oriented, with multitasking ability

?      Pleasant and patient in dealing with faculty, students and parents

?      Experience in making travel arrangements

?      Accuracy in creating and maintaining databases

Terms of Employment:

This full-time position is classified as a non-sponsored support staff position. General working hours are from 7:45 am - 3:45 pm, Monday through Thursday and 7:45 am - 12:45 pm (on site) & 2:30 pm - 3:45 pm (remote) on Fridays. An annual limited period contract will be issued stipulating 201 working days within the year, as per the school’s published calendar.
