About the Position

Position is primarily responsible for providing leadership and direction for reception desk staff in serving residents, visitors, and others. This includes overseeing the telephone system with regards to ordering equipment, scheduling and hiring for all receptionist positions, providing training for receptionists, billing, and service regarding collecting residents’ and/or guests payments, and accepting/processing packages and other deliveries.

This position is Monday-Friday  9am-5pm.

Reception Desk Duties:

  1. Management and Customer Service: Oversees operating procedures of the reception desk, key distribution, mail delivery, apartment closing procedures, and ensures timely meeting of residents' and visitors' needs. Acts as an intermediary with USPS and coordinates absence credits.
  2. Staffing and Payroll: Completes and verifies payroll, schedules 24/7 Reception Desk staff, and conducts training on Phone Mail for new employees.
  3. Budgeting and Compliance: Orders and manages budget for department; reviews and updates department manual for applicability and compliance with regulated standards.
  4. Communication and Directory Oversight: Manages the updating, reprinting, and distribution of the in-house Directory, monthly telephone charges, and Caller ID and Metropolis phone billing system.
  5. Leadership and Relationship Management: Encourages feedback, provides leadership, mentors employees, exercises discretion, and monitors commitment to quality service to residents, internal customers, and partners/suppliers.

Qualifications:

1.     College degree preferred or relative experience. 

2.     Minimum of two years’ experience in management, public relations, customer service, or related area required.

3.     Excellent verbal communication skills required.  Must be able to speak English fluently.

4.     Demonstrated proficiency in Microsoft Office Suite.

5.     Must possess the ability to deal tactfully with others.

6.     Must be detail oriented and have thorough follow up skills relating to residents and team members.
