About the Position

We are looking for an organized accounts payable manager to provide strong leadership to our accounts payable department and to ensure that the department runs smoothly. The accounts payable manager's responsibilities include maintaining accurate records regarding payments to suppliers, processing payments from clients, and training staff members.

To succeed as an accounts payable manager, you should be focused on optimizing department processes and building lasting relationships with others within and outside of the business. You should be knowledgeable, analytical, and decisive with excellent leadership and communication skills.

Job Duties

1. Managing the accounts payable Operations:
1 Supervise and lead the AP team in processing invoices, payments, and expense reports.
2 Ensuring the team is allocating purchase order numbers (if applicable) and resolving any issues.
3 Review and approve payment batches, ensuring accuracy and timeliness of payments to vendors and suppliers.
4 Resolve escalated issues related to invoices, vendor inquiries, and payment discrepancies.
5 Develop and implement AP policies and procedures to ensure compliance with regulatory requirements and internal controls.
6 Managing the resolution of issues escalated from team members.
7 Managing the employee expense claims process.
8 Planning and execution of the vendor payment runs.
9 Ensuring credit notes are processed accurately.
10 Managing the accuracy of the vendor database.
11 Cash management.
12 Reconciliation of supplier statements, credit cards etc.,.
13 Managing bank credit card system. Managing approvals and access of the Corporate Card portal.
14 Generating journals for month-end reporting.
15 Ongoing improvements to the accounts payable process.
2. Payroll administration:
1 Direct payroll processing activities, including data entry, payroll tax compliance, and benefits administration.
2 Ensure accurate and timely payroll processing for all employees, including salary, wages, bonuses, and deductions.
3 Collaborate with HR to maintain employee records, update payroll information, and address payroll-related inquiries.
4 Stay updated on payroll laws and regulations to ensure compliance with federal, state, and local requirements.
3. Financial Reporting and Analysis:
1 Prepare financial reports related to AP and payroll activities, including aging reports, reconciliation statements, and variance analysis.
2 Analyze financial data to identify trends, areas for improvement, and cost-saving opportunities.
3 Collaborate with the finance team to support budgeting, forecasting, and financial planning processes.
4. Compliance and Audit Management:
1 Ensure compliance with internal policies, accounting standards, and regulatory requirements related to AP and payroll.
2 Coordinate with auditors during internal and external audits, providing necessary documentation and explanations.
3 Implement controls and measures to prevent fraud, errors, and discrepancies in AP and payroll processes.
5. Team Leadership and Development:
1 Provide leadership, guidance, and mentorship to the AP and payroll teams, fostering a culture of accountability, collaboration, and continuous improvement.
2 Conduct performance evaluations, set goals, and develop training programs to enhance team skills and productivity.
3 Promote a positive work environment that values diversity, inclusion, and professional growth.

 

 

Job Requirements

  • Bachelor's degree in accounting, finance, management, or a related field."

  • Experience performing full-function accounts payable duties.

  • Experience in calculating, posting and managing financial records accurately.

  • Extensive knowledge of accounting and accounts payable principles, including general ledger coding.

  • Staff management experience.

  • Ability to priorities and multitask in a fast-paced environment.

  • Excellent verbal and written communication skills.

  • " Strong planning and problem-solving skills.."

  • Ability to identify and project manage new initiatives.

  • Ability to build good relationships with vendors and suppliers.

  • Understand the importance of accuracy and attention to detail.

  • Intermediate computer software skills, including Excel and other accounting packages.
