Job Description

Friends University is seeking to fill the Fine Arts Events Coordinator position in Wichita Kansas.  This position will provide graphic design and marketing expertise; manage the box office and provide organizational and coordination expertise for division events.

Responsibilities

  • Graphic Design, Marketing and Public Relations. Provide graphic design expertise for Fine Arts publications including the annual season brochure, concert/event programs, posters and flyers.  Prepares press releases to media, manages social media communications, e-marketing through Box office systems and all internal/external communications related to Fine Arts performances/events.  Maintains Fine Arts pages on the University Web site and social media sites with appropriate links to calendars, events publicity, alumni and patrons.  Coordinates with faculty to prepare and design event materials. Maintains Fine Arts mailing and emailing lists.
  • Box Office Management.  Main contact for providing and selling tickets through box office system. Responsible for tracking, reconciling, and distributing ticket sales and complimentary tickets. Maintains Box Office system, supplies and equipment. Track and analyze ticket sales and creates reports for grant applications and budget planning. Responsible for cash drawer and daily monetary transactions.  Plans and organizes division events in collaboration faculty and other staff.  Assists with training of student workers, staff members, and volunteers to serve as House Manager for Sebits & Alumni Auditorium.  Communicates with offices of the President, University Relations and others regarding ticket needs and special events. Oversee main Fine Arts/ticket phone.
  • Operations Coordination for Performances and Events.  Schedules all Fine Arts concerts, rehearsals and events held in the Riney Fine Arts Center, Alumni Auditorium and other areas on campus through university scheduling procedures.  Coordinates with division staff to schedule Physical Plant needs for events. Recruits and supervises ushers, ticket takers, and ticket booth operations; including the coordination of volunteer ushers. Plans and organizes division events in collaboration faculty and other staff.  Assists with training of student workers, staff members, and volunteers to serve as House Manager for Sebits & Alumni Auditorium.  Acts as receptionist; greets students and visitors. Builds relationships with customers, students and outside vendors.




Requirements

  • A high school diploma or equivalent is required; undergraduate degree preferred.  Coursework in business communications, graphic design and/or accounting helpful.
  • Two to five years of similar or related experience required.  One to Three years of graphic design and/or administrative experience preferred.  Computer proficiency required; MS Office, Excel, Outlook and Abode Creative Suite expected.  Spreadsheet software and database experience is necessary.  Excellent customer service skills a must.  Experience in an educational setting and understanding of the Fine Arts is a plus.
  • Excellent written, oral and interpersonal communication skills are required.  Graphic design experience and use of the Adobe Creative Suite.  (A portfolio of work will required if applicants are interviewed.
