This capable employee provides ongoing support to the General Manager of the Chicago office as well as the executive team. This role is a combination of day-to-day support to this team as well as intermittent support for new business pitches.

Job Description

Specific responsibilities include but are not limited to the following:


  • Primary goal to help prepare the managers for key meetings, travel, day to day needs and unplanned events
    • Managing calendars –as determined partner by individual needs
    • Managing travel arrangements
    • Serving as the key communication liaison on their behalf (as determined by each person supported) when needed for booking meetings, scheduling events, etc.
  • Assist in the development of special presentations, pitches and responses to RFIs and RFPs
  • Lead the executional development and coordination of all presentations as it relates senior management needs
  • Development of expense reports for executive team
  • Organization initiatives – contacts, files, case study archiving
  • Preparing for special meetings as requested by senior management—preparing the room, coordinating with IT, ordering food, preparing documents
  • Proactively organize network information and files to provide key individuals with quick access to information used to build decks as needed
  • Closely communicate with the office manager as together you are responsible to back each other up

Skills & Requirements

The ideal candidate will have the following qualifications:

  • 3+ years experience in a similar role
  • Confidential nature with ability to apply discretion throughout 100% of daily interactions
  • Ability to help keep the manager on task, while identifying watch-outs and changing events
  • Extensive Powerpoint, Microsoft Word and Excel background
  • Experience and/or interest in PR, able to draft communication for agency and network
  • Understanding of PC and MAC required
  • Flexibility in schedule and able to work 5-days per week
  • Ability to manage multiple tasks at once
  • Ability to work with various personalities in a professional and productive manner, maintaining a level attitude even during times of pressure
