Job Description

Primary Objective:

The role of the Executive Assistant is to provide administrative and secretarial support for the Divisional General Manager.  In addition this positional will also work with the Sales Manager, Purchasing Director, Customer Service Manager and the Operations Manager. 

Major Areas of Accountability:

  • Maintain an orderly schedule of meetings.  In a timely fashion, inform all attendees of these meetings, resolve conflicts, reschedule and notify if necessary.
  • Prepare and maintain business calendars.
  • Manage overflow of telephone calls, keeping all parties informed and up to date; resolving issues if possible.
  • Manage and coordinate ticket distribution for sporting events and gasoline cards.
  • Make travel arrangements to include but not limited to airline, hotel and car rental.
  • Maintain open communication other Executive Assistants within the company.

Requirements:

General:

  • Strong organizational skills
  • Ability to perform multiple tasks
  • Ability to plan and work independently
  • Problem solve

Technical:

  • Knowledge of all office equipment
  • Strong verbal and written communication skills
  • Experience with Microsoft Office

Experience:

Five years of experience as an Executive Assistant in a professional business environment.
