EA- Assistant (US Shift)

Due to our continued growth, we are seeking to add an experienced full-time, in-house EA/Front Office executive to assist and support our US Executive Assistants in coordination work with India Leaders along with performing various front office tasks.  The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small office of diverse people and programs.

The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level is written and verbal communication skills, strong decision-making ability and attention to detail are equally important.

We have people from various educational backgrounds with most of our team completing their Bachelor degrees in the last 5 years.

 

Work Hours: East Coast Shift: (*Cab will be provided)

 

Position Duties

  1. Expense report assistance
  2. Travel research/booking/changing
  3. In difficult situations finding meeting rooms/coordinating with other people to move rooms
  4. Potentially booking meetings as needed
  5. Backup for EA team when US EA is not around (reply to EA Distro list when on vacation)
  6. Scheduling large meetings (All hands/Town Halls) and making sure rooms are set at India office
  7. Logistics for US execs visiting India office/work with India EA to schedule meetings

Candidate Requirements

MUST HAVE:

  • 5-6 years experience supporting at the executive level
  • Excellent calendar management skills, including the coordination of complex executive meetings
  • Experience assisting management with the creation of PowerPoint presentations
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint, and Outlook
  • Experience scheduling travel arrangements for management
  • Excellent communication skills
  • Bachelor’s degree Required
