Executive Assistant

Cvent is seeking a seasoned Executive Assistant to provide support to Technology executives in our McLean, VA headquarters office. The ideal candidate will be team oriented and can work with other administrative professionals collaboratively, possess flexibility, can adapt to constantly changing demands, and show themselves capable of taking on new and unfamiliar tasks.  In addition, you need to feel comfortable with a fast pace and changing priorities, be competent at multi-tasking and will frequently find yourself in the center of everything that happens in the office.  The position is extremely pivotal to the success of a well-run, efficient sales operation.  This is an exciting opportunity within a fast pace environment for the right candidate! The position will report to the Chief Information Officer.

Meetings Management

  • Coordinate executive hosted meetings: participant lists, conference rooms, assembly of materials, catering and agendas with input from other members of senior management
  • Manage and maintain executive calendars and travel arrangements, ensuring prompt attendance at all relevant meetings and anticipating schedule conflicts, preparation and travel time, and other similar events which might impact schedule
  • Ensure conference rooms, including video technology is ready to go and meetings start on time

Administrative Support

  • Manage a broad range of short and long term projects such as expense reports, internet research, text/graphics editing, data entry, copying, etc.
  • Support executives by gathering data, reports, dashboard analytics for daily/weekly meetings
  • Required to perform work and personal related errands as needed; included but not limited to picking up lunch, dry cleaning, making appointments, reservations etc.
  • Welcoming guests and customers by greeting them in person or on the phone; answering or directing inquiries to the appropriate person or office
  • Performs other duties as needed in support of the executives, including light administrative support to other members of senior management
  • Create and manage projects that will streamline and produce effective office procedures
  • Ensure common areas such as printer stations are free of clutter

Communications Management

  • Author potentially sensitive or high-level communications with input from the executives and other senior management
  • Read and respond to communications to the Cvent team, Board of Directors, business partners and professional groups to help facilitate resolution of matters requiring attention of the executive
  • Serve as primary liaison with internal staff at all levels, ensuring seamless coordination of administrative, business and personal endeavors of the executives

Requirements & Skills:

  • Bachelor’s degree preferred
  • 3+ years of similar experience required; prior experience working for a company in the technology industry preferred
  • Proficient in MS Outlook, Word, Excel and PowerPoint
  • Excellent verbal and written communication skills
  • Ability to solve moderate to complex problems
  • Demonstrates attention to detail and excellent organizational skills
  • Ability to manage short and long term projects; facilitating individuals and committees towards resolution
  • Proven experience building effective work relationships with diverse individuals and groups, internally and externally, and creating a welcoming and productive business environment
  • Ability to juggle competing priorities in a fast-paced dynamic environment
  • Ability to exercise discretion and confidentiality
  • Demonstrates the personal discipline to work with demanding, entrepreneurial minds
