Octo Consulting Group is seeking a PeopleSoft documentation Specialist to join our growing team.  

Responsibilities:

  • Ensure that all program and project documents communicate the intended message clearly and concisely, are free of typographical errors, spelling errors, grammatical errors, and errors of logic.
  • Ensure that all program and project documents reflect a logical organizational structure, contain paragraph, page, section, and chapter numbers, as appropriate to allow reviewers to accurately identify and cite specific text.
  • Ensure that all program and project documents contain tables of contents and indexes, as appropriate to the size and complexity of the document.
  • Ensure that all program and project documents are created in a manner that avoids excessive printing costs or unnecessarily large electronic files, and are stored in a location that is easily retrievable.
  • review and edit existing documents to prepare them for final delivery or dissemination.
  • Provide detailed technical editing in redline form to allow original authors the option to accept/reject the recommended changes.
  • Conduct document review meetings to coordinate the review and input of multiple reviewers.
  • Maintain an official set of notes (electronic or hard copy) at meetings and deliver a final, updated document to meeting attendees.
  • Store draft and final versions of all official program documentation in the document management system, allowing audit trails and easy, logical retrieval on demand.
  • Maintain an automated listing of all documents and versions housed in the repository and make this listing available on-demand to all program officials.
  • update, with current information and references, documents as they become available.
  • Provide any required reports and updates to online resources.
  • Respond to requests for document retrieval, providing both electronic and hard copies of documents, as required.
  • Leverage collaborative tools to facilitate communications between the teams.

Skills & Requirements

  • Minimum of five (5) years performing as a Documentation Specialist
  • Detail-oriented and able to work with a high volume of documentation in a fast-paced environment
  • Highly organized and process-oriented
  • Excellent oral and written communication skills
  • Able to interact at all levels of an organization including senior individuals
  • Excellent listening skills
  • Proficient in computer software programs such as word processors, spreadsheet programs, and database systems
  • Basic analytical experience
  • Data organization and storage knowledge

Certifications and Clearance: Treasury Public Trust or Top Secret strongly preferred

Required Education: BS in Computer Science, Information Systems, Computer Engineering or equivalent

Physical Requirements:

  • Regularly required to sit for extended periods up to 80% of the time; frequently required to move about to access file cabinets and use office equipment such as PC, copier, fax, telephone, cell phone, etc.
  • Occasionally required to reach overhead, bend, and lift objects of up to 10 lbs.
  • Specific vision abilities required by this job include use of computer monitor screens up to 80% of time

Work Environment:

  • Individual’s primary workstation is located in an office area
  • The noise level in this environment is low to moderate
