Job Description

Octo Consulting Group is seeking a Clerical and Administrative Assistant to support our growing team. This role will assist executive assistants and secretaries by sorting mail, filing, answering phones, greeting clients, scheduling meetings, and restocking supplies.  This position is part-time, a few hours a week during core business hours.

Primary Responsibilities:

  • Answer phones and greet clients warmly.
  • Assist in filing duties.
  • Reroute calls to appropriate people.
  • Answer inquiries about company.
  • Help organize office activities.
  • Prepare coffee or water for staff and company guests.  Perform other kitchen maintenance as requested (i.e. empty dishwasher) 
  • Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.
  • Retrieve files for personnel.
  • Take and deliver messages.
  • Sort and distribute incoming mail.
  • Handle travel arrangements and expense reports for staff.
  • Schedule meetings and conference rooms.
  • Perform data entry.
  • Restock supply closet with printing paper, ink, pens, paper clips, staplers, files and folders, and correction fluid, etc.
  • Other duties as assigned.

Other Considerations: Relocation will not be offered. Selected applicants will be subject to a background investigation. Individual’s primary workstation is located in an office area. The noise level in this environment is low to moderate. Regularly required to sit for extended periods up to 80% of time; frequently required to move about to access file cabinets and use office equipment such as PC, copier, fax, telephone, cell phone, etc. Occasionally required to reach overhead, bend, and lift objects of up to 10 lbs. Specific vision abilities required by this job include use of computer monitor screens up to 80% of time.
