Job Description

Program Overview:

Eagle Club programs offer SAS and non-SAS students the opportunity to benefit from professional instruction and year-round training, tuition, and opportunities to compete. Eagle Club activities and athletics are available to internal and external preschool to grade twelve students and are designed to complement our Eagle Pathway activities and athletics.  In addition, programs also address community needs for non-pathway programs while still upholding The Eagle Way and the SAS’ Learning Aspirations for students.

Position Overview:

The Eagle Club Activities & Athletics Coordinator provides guidance and direction for Eagle Club activities and athletics. This professional provides systemic leadership and coordination of sports and activity programs that allow students to explore and develop skills in already identified areas of interest. They are also responsible for the program hiring, planning, scheduling, and implementation, as well as program culture and community building that is consistent with the SAS Core Values and aligns with the school’s mission and vision.

This role reports directly to the Director of Student Life & Co-curricular Programs and maintains communications with academic and operational leadership positions as part of a multi-tier support system

Tasks and Duties:

  • Recruits, trains, and coordinates professional coaches and instructors or reputable external organizations/vendors and comprehensive leadership overall staff that work directly with SAS students.
  • Organizes supervision, equipment, uniforms, rosters, facility bookings, and travel for internally-led programs as needed
  • Regularly liaises with deans, principals, and counselors to ensure that students are being supported and that sensitive student information is handled in a confidential and respectful manner 
    • Including matters pertaining to suspension, dismissal, re-entry, movement restrictions
  • Works with the Activities and Athletics PLC to ensure that opportunities for students are being maximized and programs are being offered in an organized and meaningful way 
  • Creates and maintains budgets and P&Ls to ensure responsible pricing and spending and builds strong relationships with the Finance office and Business office to ensure smooth financial operations and accurate documentation
  • In conjunction with the Business office, manages vendor contracts and processes vendor payments
  • Supports the organization of competitions, performances, and events as required
  • Orchestrates regular feedback from stakeholders on the efficacy of programming and utilizes this data to improve the quality and ensure the relevance of Eagle Club programs
  • Provides supervision to the overall interscholastic activities and athletics programming by supporting evening, weekend, and international events
  • Regular review of club programming and vendor operations to ensure we are meeting the needs of our stakeholders
  • Supervisory duties over EAA assistants, SAS employees (aquatics coordinator, swim coaches, head baseball coach, baseball coaches), and external vendor coaches operating on campus
  • Key point of contact for parents for all matters pertaining to SAS club sports and other related vendor-led programs
  • Designated Safeguarding Lead for after-school student programs (CPOMS certified)

Communication and Collaboration:

  • Collaborates with ES, MS & HS Leadership Teams, ADs, and other members of the P-12 Activities and Athletics Professional Learning Community to develop and/or implement quality athletic, activity, and performance experiences
  • Participates effectively in the formulation, improvement, and implementation of the school’s activity, athletic, and arts programs
  • Promotes teamwork and high morale among coaches, instructors, support staff, volunteers, parents, and activity and athletic directors to create a positive co-curricular experience for students
  • Collaborates effectively with others to support the school mission and vision as well as the philosophy of the activity, athletic, and performance programs
  • Initiates proactive communication with school leaders, participants/athletes, parents and sponsors/coaches/directors around:
    • Program offerings
    • Timing of activities and athletic events
    • Community building
    • Feedback
    • Best practices and innovation

Administrative Responsibilities:

  • Facilitates and promotes responsible budget and resource management
  • Campus Upgrade Work - facilities design and optimal exploitation
  • Tracks and supervises program quality and registration numbers
  • Audit/Supervision of vendors (build look-fors, rubrics, method, bi-annual feedback cycle)
  • Actively seeks and leads program innovation including R&D, processes, and timelines for potential new programs
  • Directs and evaluates SAS-employed Eagle Club coaches, instructors, and support staff in a supportive and productive manner
  • Develops and maintains a current version of the Eagle Club Coach’s Handbook and SAS website in line with the school's beliefs
  • Works with schoolwide operational teams to ensure that safety concerns are reported promptly and that programmatic operational needs are well-planned and communicated in a respectful manner
  • Enters Child Safeguarding disclosure into CPOMS and works with senior Safeguarding Lead to manage safeguarding-related matters.
