Union Square Events is looking for an Assistant Director of Banquets at Conrad Hotel

The Assistant Director of Banquets is responsible for the overall cohesiveness and continuity of the banquet team on the floor. This person should be looking towards future events beyond one week by attending production meetings, preliminary planning meetings, or going on site visits with potential clients.  The Assistant Director’s time will be spent on and off the floor, with heavy involvement with client relationships and management. The Assistant Director should be able to complete any task asked of them in regards to an event or event planning as well as knowing all of the administrative duties of the Assistant Banquet Managers, Banquet Managers, and all line level staff members. This person must show strong leadership qualities in managing other managers as well as line level staff. They should also be well versed in the Union’s CBA. The Assistant Director of Banquets should be able to problem solve and react quickly to last minute changes, and then coordinate the team efficiently to execute such changes.

Key Responsibilities:

Client/Banquet Operation Management

  • Manage Banquet Managers and offer assistance as pertains to all aspects of the operation
  • Give support to Banquet Managers when needed with onsite Client interactions
  • Oversee and guide managers on union labor and schedule changes
  • Purchase all supplies needed in Hilton’s Birchstreet ordering system (Sysco/Ed Don/Office Depot/Guest Supply/Coffee/Tea etc.)
  • Control alcohol inventory and ordering with the F&B team from The Conrad NY (CNY)
  • Order any upgraded or specialty beverages for groups
  • Communicate any changes of events to Banquet Managers
  • Ensure PSAV is set on time and correctly

Future Event Logistics

  • Attend BEO meetings
  • Attend Production meetings
  • Attend PreCons for upcoming events
  • Serve as liaison for CNY Sales/Events/Catering team
  • Assess need for special vessels, menus, additional staffing, etc.
  • Assist in ordering soda/water/club soda/ginger ale/tonic water as needed

Administrative Tasks

  • Create Server assignments/team pick-ups/team line ups for plated meal functions
  • Assist Banquet Manger with Houseman payroll
  • Assist Office Manager with Banquet Server payroll
  • Assist Director of Banquets with creating houseman schedules and input into LMS
  • Administer disciplinary actions to employees when necessary

 





Skills/Requirements
Technical: 
  • Proficient in POS System (Micros)
  • Strong Computer Skills ( Microsoft Office, Delphi, Social Tables, CaterXpert preferred)
  • Knowledge of OT and NY State Labor Laws
  • Knowledge of Union CBA
Experience: 
  • Bachelor Degree or Equivalent Experience preferred
  • NYC Food Handler’s Certificate
  • TIPS Certified
  • 5+ NYC Hotel Management experience
  • 5+ Years F&B Management preferably Banquets
Work Environment:
  • Must be able to stand, reach with arms and hands, bend and stoop, kneel and crouch more than 50% of the time.
  • Must also possess the ability to taste and respond to visual and aural cues; must be able to verbally communicate with employees and guest at all times.
  • Lifting requirements range from being able to lift between 10 and 50 lbs more than 50% of the time.
