POSITION/SCOPE WITHIN THE ORGANIZATION
This position reports directly and functionally to the Customer Service Team Manager.

PURPOSE OF THE JOB   
The Receptionist is responsible for providing prompt and courteous service for incoming telephone calls and serve as initial greeter and source of information for on-site visitors.  This position also provides general office support as necessary to various departments.  
 

Skills/Requirements

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Key Result #1 – In partnership with the Help Desk, provide prompt and courteous service for incoming telephone calls and serve as initial greeter and source of information for on-site visitors (95%).

  1. Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department;
  2. Retrieves messages from voice mail and forwards as appropriate;
  3. Answers questions about organization and provides callers with address, directions, and other information;
  4. Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate person;
  5. Takes and logs deliveries from UPS, DHL and other vendors and alerts departments of delivery for pick-up;
  6. Assist guests in locating local food banks, shelters or other avenues of assistance;  
  7. Create and manage Reception desk lunch cover schedule of employees;
  8. Monitor the parking lot security via video monitor, contact appropriate employees of suspicious activities;
  9. Pray and Respond to donor prayer requests;
  10. Maintain Employee Information Documents;
  11. Update Employee Security Passwords with our Alarm System Company;
  12. Sell stamps to Employees and maintain stamp petty cash;


Key Result #2 – Provides clerical assistance to various departments as assigned (5%).

  1. Assist in sorting mail for Donor Services and/or Child Sponsorship;
  2. Communicate with all FH staff to notify of US holidays, and create sign for door to notify visitors.


QUALIFICATIONS

  • Ability to sit at a computer for 8 hours a day doing repetitive motions on a keyboard

  • Competent in MS Office Suite
  • Organized and able to multi-task


EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED) is required with six months related experience and/or training; or equivalent combination of education and experience.

SUPERVISORY RESPONSIBILITIES   
None

LANGUAGE SKILLS
Proficiency in spoken and written English. Bilingual in Spanish a plus. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
