MISSION STATEMENT

SUMMARY: 
The Administrator for the Church Engagement department is responsible for providing administrative support to its department. This position will develop systems and processes that will assist the department in serving churches and partners as they join us in supporting the work on the field.   The Administrator for the Church Engagement department will be responsible for assisting with team details, tracking donation and sponsorship data, developing necessary reports, processing funds and other general administrative tasks.

Skills/Requirements

ESSENTIAL DUTIES AND RESPONSIBILITIES Other duties may be assigned

Key Result #1- Assist Teams Manager with tracking and organizing team details (45% of time)

  1. Utilizing databases and other systems to track the receiving and transferring of team funds to the field;
  2. Develop the team contracts and team profiles;
  3. Create and maintain personnel files for each team member and ensure proper documentation is in each file (passport, signed applications, Protection Policy documentation, etc.)
  4. Coding and processing of team/church funds;
  5. Organize team feedback as gathered from team evaluations;
  6. Coordinate all ministry courier efforts with team leaders;
  7. Provide general administrative support for teams processes, including but not limited to developing travel arrangements, data entry, filing and copying;


Key Result #2 – Providing strategic administrative support to the Church Representatives and Church Recruiter (45% of time)

  1. Tracking the annual acquisition of C2Cs, sponsorships and special project donations from churches;
  2. Working with appropriate staff on creating necessary codes to allocate funds and sponsorships correctly;
  3. Updating sponsorship request information and forecasting numbers;
  4. Mailing out sponsorships packets and other resources to potential and current church partners;
  5. Providing database support in tracking overall impact of these church partnerships;
  6. 6Providing general administrative support for sponsorship and church acquisition efforts, including but not limited to data entry, filing and monitoring in-house supplies;



Key Result #3 – Providing administrative support to the Director of Church Engagement (10% of time)

  1. Assisting the Director of Church Engagement with on-going projects as needed;
  2. Providing support in the tracking of departmental budgets and expenses;

EDUCATION and/or EXPERIENCE
Three  to five years of experience, in an administrative / business environment or equivalent combination of education and experience.

SUPERVISORY RESPONSIBILITIES
 None

LANGUAGE SKILLS
Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public in both languages, English and Spanish.
