ASU Research Enterprise (ASURE)

Arizona State University Research Enterprise (ASURE) is an independent not-for-profit organization focused on applied research and development programs/projects. Affiliated with Arizona State University and based at SkySong in Scottsdale, ASURE conducts research and technology development for the military, defense and security industry.

Role Summary

The administrative associate performs administrative and support duties for the Director. This position manages the Directors schedule, arranges appointments, travel, meetings, conference calls, etc., prepares and initiates routine and non-routine correspondence, memoranda, reports, etc. Their work requires some analysis and use of initiative and independent judgment with frequent access to confidential and highly complex information. The administrative associate will demonstrate the ability to take initiative, use sound judgment by taking appropriate actions and consistently demonstrate the ability to respond to changing situations in a flexible manner in order to meet the current needs of the team. The administrative associate will report to the Executive Assistance/Office Manager.  








Skills/Requirements

What you'll do:

  • Perform administrative and support duties for the Director of Operations
  • Independently research and create summary documents and reports in pursuit of generating solutions
  • Research information and data entry into salesforce database, providing support for routine and non-routine projects
  • Prepare correspondence, reports or other documents form rough drafts or notes
  • Support the overall enterprise by working with other administrative and executive assistants and coordinators as needed
  • Handle logistics for team meetings, staff meetings and other division initiatives
  • Scheduling of conference calls, management meetings, coordinate logistics and preparation for these meetings as required
  • Prioritizes and arranges meetings, conferences and appointments for director of operations; makes necessary travel reservations and itineraries; determines and prepares background materials needed
  • Process outside invoices, dues, payments and event registration fees as required
  • Process expense reports and credit card statements
  • Route contracts for approval
  • Coordinate signing of all documents
  • Exercise good judgment and professional demeanor when communicating with external and internal constituents
  •  Pro-actively identify needs, analyze problems and make recommendations for efficient operations
  •  Must be able to interact and communicate with individuals at all levels of the organization
  •  Prepare purchase requisitions and order supplies
  •  Open and distribute the mail
  •  Other duties as assigned, including working, as needed, with events and other team members

What you'll need:

  • Knowledge of University or Enterprise Partners standard office policies and procedures
  • Ability to maintain a high degree of confidentiality and responsibility regarding information related to Enterprise Partners, its subsidiaries and University business and confidential prospect information

  • Ability to work both independently and as part of a team
  • Problem solver who can take initiative and set priorities while being flexible

  • Highly organized and able to handle multiple projects
  • Adept at navigating complex environments with evolving priorities and communication plans
  • Knowledge of web-based financial systems

 



Relevant Experience:

Bachelor’s degree preferred. Four years of directly related administrative experience.

Applicant must be a US Citizen

The ability to obtain a DOD Security Clearance is Required
