The ASU Foundation is a private non-profit organization that identifies, encourages and engages private supporters to advance the success of Arizona State University as a New American University.

Role summary:

The administrative assistant will provide professional and administrative support for the Executive Director of Donor Outreach and the Donor Outreach team. The assistant will provide general administrative functions, which include monitoring and assistance with budgets, donor correspondence and related functions, and complex scheduling assistance. The position requires broad and comprehensive experience, skill and knowledge of organizational policies and procedures, the ability to routinely interact with individuals at all levels of the foundation and University and take initiative, use sound judgment by taking appropriate actions and consistently demonstrate the ability to respond to changing situations in a flexible manner in order to meet the current needs of the team.

 
What you'll do:
 

·         Serve as a member of the Donor Outreach team, including Women & Philanthropy and President’s Club, Sun Devil Giving, and Campaign ASU 2020.

·         Assist with membership services for Women & Philanthropy and President’s Club donors.

·         Assist with budgets for various team accounts, monitoring expenditures and budget guidelines, and informing management of irregularities.

·         Assist with creation of annual operations budget and perform quarterly budget reconciliation.

·         Organize and/or prepare Donor Outreach administrative efforts, including fundraising and financial reports.

·         Create and maintain orderly filing systems, process monthly expense reports for directors, and timely preparation of reports.

·         Prioritize and arrange complex and recurring meetings, conferences and appointments for directors; making travel plans and preparing background materials when needed.

·         Schedule conference calls, donor/volunteer and/or management meetings, coordinate logistics and preparation for meetings as required.

·         Prepare both internal and external correspondence, presentations and reports or other documents from rough drafts, notes or recordings.

·         Data input of information into donor system of record (Advance/Salesforce).

·         Prioritize workload to meet work unit operations and evolving priorities.

·         Screen telephone calls and visitors and resolve routine and complex inquiries.

·         Interpret policies and procedures.

·         Perform other duties and support functions as assigned.

 






Skills/Requirements

·         Collaborative style, combined with the ability and desire to work in a team-based environment 

·         Ability to maintain a high degree of confidentiality and responsibility regarding information related to Foundation and University business and confidential prospect information

·         Strong and collegial interpersonal skills and an ability to communicate effectively in person, writing, and by phone

·         Ability to work both independently and as part of a team

·         Problem solver who can take initiative and set priorities while being flexible 

·         Ability to represent the institution well

·         Team-oriented strategist able to effectively manage complex situations involving numerous and sometimes competing constituencies

·         Advanced knowledge of Microsoft Office Suite – including Outlook

·         Advanced Internet skills

·         Knowledge of web-based financial systems

·         Knowledge of office and administrative practices and principles

·         Background with external customer service-related skills such as analyzing complex customer inquiries, identifying appropriate resources, and diplomatically directing inquiries within the team and development department

·         An advocate’s belief in the vision of ASU as the New American University

·         Attention to detail and thoroughness in completing assigned duties

·         Highly organized and able to handle multiple projects simultaneously

·         Adept at navigating complex environments with evolving priorities and communication plans 

 

Relevant Experience

Bachelor’s degree preferred; one to two years directly related experience; OR, commensurate experience in a similar role supporting multiple team members.
