Job Summary:   The Executive Assistant will be assisting our President & Chief Operating Officer. The ideal candidate is highly professional, self-motivated, can multitask while managing their work load, in a fast-paced corporate environment.   This individual will also provide assistance to other C-level executives and will be responsible for performing a number of administrative duties as needed.  

 

 

Key Responsibilities:          

  • Day-to-day administration support for TimePayment senior executives
  • Schedule meetings, conference calls and travel arrangements, including prioritizing meetings and communicating all relevant details to participants
  • Order lunches for meetings
  • Create and modify presentations, spreadsheets, expense reports and other various documents
  • Handle phone, email and postal mail inquiries and respond appropriately
  • Maintain contact with internal staff, corporate board members, outside entities in order to provide information, assistance and conduct research when necessary
  • Proactively manage calendar with the ability to schedule and prioritize meetings, resolve schedule conflicts, and stay several steps ahead to manage effectively
  • Maintain corporate conference bridge, shipping and purchasing (office supplies, breakroom supplies) accounts
  • Responsible for office facilities, internal space planning, furniture and liaison with landlord as well as facilities management company for any issues maintenance issues in the building
  • Manage internal moves, order office furniture and work with outside vendors regarding office reconfigurations
  • Manage administrative staff of reception area, as well as working the front desk to cover receptionist when needed
  • Manage stocking and ordering for office breakrooms
  • Organize periodic company events such as all associates meetings, summer outings, holiday parties, pot luck luncheons and other events as they come up
  • Support Human Resources with special projects or tasks as needed
  • Other duties as assigned

     

    Required Experience, Education, Skills and Competencies:

  • 5+ years of related work experience providing direct C-level support
  • Bachelor’s degree preferred
  • Exceptional written and verbal communication
  • High degree of discretion and professionalism
  • Proficient in MS Office skills with Word, Excel and Powerpoint
  • Strong organizational skills and superior attention to detail
  • Ability to prioritize tasks in a fast-paced environment
  • Flexible and adaptable, with the ability to respond to last-minute changes while maintaining poise and a positive “can do” attitude
