ASU Enterprise Partners Shared Services

Enterprise Partners Shared Services comprises teams of investment and finance, law, information systems, human resources and communication experts who provide centralized guidance and support to each entity that makes up ASU Enterprise Partners: the ASU Foundation, University Realty LLC, ASU Research Enterprises, Arizona Technology Enterprises and Research Collaboratory at ASU.

Role summary:
The student conference center assistant will be responsible for overseeing conference rooms which includes: greeting and directing visitors, managing the reservation system, answering questions, working with internal departments and customers on room configuration, audio visual set up, and vendors if needed. The student conference center assistant must be capable of managing several activities at the same time, often under pressure, be dependable, prompt, and pay close attention to details.
 
Desk coverage is Monday thru Friday from 8am – 5pm (hours may vary on occasions)

Hours will be arranged according to the students availability

Position is year-round.

Students will share in the weekly coverage  based on school schedules.

Please include your Spring semester availability with the application. DO NOT provide your actual schedule.
Seeking coverage for Tuesday afternoon and Thursday afternoon, Noon to 5:00pmAdditional hours will be needed during the week, Monday thru Friday. 

What you’ll do:
 
· Greet and direct visitors and answer questions
· Display professional demeanor at all times
· Responsible for all aspects of reserving conference rooms to ensure accuracy
· Maintain computer and/or hard-copy files containing confidential records in an organized manner to ensure the accurate and fast retrieval of information
· Ensure appropriate communication to necessary departments including catering, audio visual and room setup
· Provide basic audio visual support
· Provide excellent customer service
· Ensure rooms are set according to customer standards
· Check all conference rooms before and after meetings
· Assist meeting attendees when needed
· Interact with high level donors, staff and vendors
· Other duties as needed











 

 

 

 





Skills/Requirements
 What you’ll need:
· Collaborative style, combined with the ability and desire to work in a team-based environment
· Ability to maintain a high degree of confidentiality and responsibility regarding information related to Enterprise Partners, its subsidiaries and University business and confidential prospect information
· Strong and collegial interpersonal skills and an ability to communicate effectively in person, in writing, and by phone
· Ability to work both independently and as part of a team
· Problem solver who can take initiative and set priorities while being flexible
· Team-oriented strategist able to effectively manage complex situations involving numerous and sometimes competing constituencies
· Ability to represent the institution well
· An advocate’s belief in the vision of ASU as the New American University
· Attention to detail and thoroughness in completing assigned duties
· Excellent planning, highly organized and able to handle multiple projects
· Knowledge of and experience with Microsoft office products (Word, Excel and Outlook)
· Adept at navigating complex environments with evolving priorities and communication plans
· Ability to lift 50 lbs. and move furniture
· Capable of managing several activities at the same time

Relevant experience:
A current student at Arizona State University pursuing a degree in a related field with a willingness to learn and ability to work well with others. Student must be willing to sign and abide by a confidentiality agreement.
