Job Description

Under the direction of the Director of Group Services.  Supports and assists the Group Services Department’s administrative needs while coordinating details of assigned groups (Food & Beverage, Audio Visual, Groups, Day Functions, Weddings and Leisure.) Events include food & beverage, audio visual, activities, room sets, etc. Act as the liaison between group leaders and resort staff in specified areas.   

Position Functions / Areas of Responsibility
1. Compile and distribute department’s operational reports.
2. Respond to all correspondence as required.
3. Assist in the detail implementation and finalization of assigned events by distributing paperwork to various departments.
4. Coordinate and communicate office supply needs to Group Sales Administration.
5. Complete Expense Reports for Group Service managers as necessary.
6. System administration and phone coverage.
7. Communicate to the various resort operational departments the needs of a particular group coming on property.
8. Oversee implementation and completion of assigned events through BEOs (Banquet Event Orders), REOs (Restaurant Event Orders,) and being on-site during events.
9. Discuss and fully understand what client is trying to accomplish while on property then use this information as a tool in coordinating the event as well as up-selling certain revenue areas within the resort.
10. Attend regularly scheduled meetings with resort staff in order to insure instructions are clearly understood by all involved parties.

1. Direct and continuous contact with guests.
2. Direct and continuous contact with co-workers, management, and other departments.
3. Must have the ability to interact at any time with guests and other employees in a pleasant manner and maintain good working relationships with others and all departments at Snowbird.

Education & Experience Requirements
1. High School Diploma or equivalent required.
2. 6-12 months of customer service and administrative work experience with demonstrated competence.

Specific Requirements:
1. Must be at least 21 years of age.

Skills & Knowledge
Technical:
Must be capable in Microsoft Office programs.  Delphi and SMS Host experience is preferred.  Strong email and telephone skills required. Requires the ability to communicate clearly and precisely in a variety of significant situations, both in verbal and written forms.  Requires the ability to communicate client directions to the operations staff.  Sales experience necessary to up-sell and increase resort revenues.    Strong “on the spot”  decision making skills required.

Administrative:
Requires strong administrative and organizational skills, with strong attention to detail.  Accuracy crucial in developing BEOs and maintaining client data base..  Will work unsupervised most times.

Working Conditions

Work Schedule:
1. Shifts vary, may be early morning or late evening, weekends, holidays, depending on business levels.
   
Mental:
1. Must be prepared to stay overnight if necessary on occasional times of road closures.
2. May experience unusual stress from high business volumes, deadlines, continual work with public, winter conditions, snow night requirements and commuting to/from Snowbird.

Physical:
1. Must be able to stand for long periods of time.
2. General office environment, with foot travel around buildings and resort.
3. Work is routine in pleasant, comfortable surroundings.
