Job Description

Under the direction of the Assistant Food and Beverage Director
Oversees the operation of Conference Facilities Department. This includes management of personnel, coordinating conference room set specifications and advising Conference Service Managers and Group Leaders when coordinating special arrangements and special events.

Position Functions / Areas of Responsibility

1. Requires the exercise of judgment within policy guidelines, with some supervisory approval. Has significant input and decision making for overall operations of the department. Needs to be able to select appropriate and effective solutions from a number of established courses of action. Knowledge of room capacities, and plan appropriate logistics for the expected number of guests along with advising Service and Sales on max sets and best set up styles. Reviews Banquet Event Orders for anticipatory equipment and staffing needs. Determines any special needs in timely manner and makes appropriate changes or requests as needed with all parties involved.

2. Oversees handling, transport, maintenance, overall wellbeing of all conference and special event equipment. Maintains guest expectations through enforcement of quality standards, consistent and thorough room sets, adequate supply of inventories and physical condition of conference space and equipment.

3. Is an integral part of the Conference Operations management team and works closely with other managers on a daily basis to efficiently and correctly execute guest expectations.

4. Responsible for the quality, appearance, and execution of all meeting and conference facilities throughout Snowbird Resort. Responsible for scheduling all repairs and maintenance needed for meeting and conference facilities and furniture in order to be fully functional in all aspects prior to guests utilization of any function space.

5. Responsible for training staff in proper lifting procedures and in using equipment safely. Responsible for training staff in careful handling of all chemicals and cleaning supplies used by facilities staff. Responsible for training all staff on department standards, quality expectations, and employee conduct. Including standards of sets, proper spacing, function room locations, and, inventory locations.

6. Manage box handling in all aspects for group business. Including receiving, proper documentation, storage, and shipping out for all materials for group clients and exhibit functions.

7.Responsible for Conference Facilities compliance with all company human resource management, payroll, purchasing, and accounting policies and procedures in order to assure legal, consistent, accurate and ethical operations.

8. Assist F&B operations with set up and execution of Special Events such as but not limited to  Brewfest and Oktoberfest

Travel: Occasional travel for movement of equipment to and from the storage facility as well as pick up and/or drop offs of rental equipment when needed. Other travel may be required at times.

3. Must have the ability to interact at any time with guests and other employees in a pleasant and professional manner and maintain good working relationships with others and all departments at Snowbird.

Education & Experience Requirements
College degree or equivalent preferred.
2-4 years of job-specific work experience with demonstrated competence

Specific Requirements:
 Must be at least 18 years of age.
 

Skills & Knowledge

Technical:    
Requires the ability to use basic math skills to determine the correct inventory needs and supplies based on available resources and details on Banquet Event Orders. Requires knowledge of safety procedures and techniques. Basic knowledge and skills pertaining to office programs such as Outlook, Excel, and Word. Will be required to communicate with external vendors as well as clients occasionally. Ability to use and/or learn programs such as Delphi, Delphi Diagrams, and Visio. Other computer software programs may also be required.

Administrative:    
Responsible for checking hours to insure that payroll is accurate. Responsible for scheduling all employees on a weekly basis (keeping labor budgets in mind) and making sure schedule is accurate according to business levels. Hires, trains and directs all staff members for daily operation and quality standards. Completes, distributes and records required corporate paperwork for supervised staff. Reviews Banquet Event Orders (BEOS) and directs day-to-day operations of the facilities staff according to BEOs. Attends BEO meetings and keeps BEO book updated with changes. Will also attend meetings that are pertinent to the department.

Working Conditions

Work Schedule:
Shifts vary based on business patterns. Early mornings and/or late evenings are required at times. Must be available weekends as well as holidays.
Specific: Required minimum of 40 hours per week. Some weeks require 50+ depending on business volume.

Mental:
Must be prepared to stay overnight if necessary on occasional times of road closures.
May experience unusual stress from high business volumes, deadlines, continual work with public, winter conditions, snow night requirements and commuting to/from Snowbird.

Physical:
Must be able to lift 50-100 lbs.
Must be able to stand for long periods of time.
Must demonstrate ability to bend, kneel, handle, reach, grasp and perform repetitive motions.
Work is indoors and outdoors and requires some exposure to cold and other extreme weather conditions.  
Work is subject to frequent interruptions making continuity and accuracy difficult, frequent exposure to noise.

Other/Additional:  Ability to handle stress due to large events, long inconsistent hours, deadlines of events, working in a shared office space, and attention to detail for events. Undue stress may also occur from winter driving conditions, snow night requirements and driving to and from Snowbird.
