Job Description

We are seeking a bright, energetic, dynamic, and highly motivated Assistant Regional Condo Manager with administrative responsibilities to support our multiple site Condo communities in Southeast Michigan.  

*The position is a full-time position working 5 days a week (40 hours per week) with some evening meetings required

The position of Assistant Regional Condo Manager calls for efficiency and excellence in a variety of scenarios, and the ability to work independently under minimum supervision. Organizational skills and the capacity to prioritize and make quick decisions involving multi-tasking of multiple projects are essential for this role.  It is also imperative that the Regional Administrative Assistant coordinates efforts between Board Members and Co-Owners to facilitate the successful completion of time sensitive projects.

Duties and Responsibilities:

Administrative Assistant

  • Performs varied, complex and confidential administrative duties under limited supervision requiring a thorough knowledge of policies, procedures and precedents
  • Reviews, logs and determines priority of, routes and composes routine correspondences, and those documents independently prepared that do not require supervisor's personal attention
  • Screens calls, inquiries, and disseminate to manager as appropriate
  • Attends bimonthly Board Meetings and transcribes minutes of from taped recordings and/or notes.

Orientation Coordinator

  • Assemble and maintain Association orientation binders for new Co-Owners.

Assistant Condo Regional

  • Assists Regional Manager in the preparation and/or updating of daily/weekly/monthly reports and resident communications; attends meetings upon request
  • Performs special projects when necessary as directed by manager including ordering supplies, updating insurance policies and other tasks as deemed necessary to ease transitional efforts
  • Contributes ideas to Manager for maximizing results and continued improvement in resident satisfaction

Resident Relations

  • Maintain customer service attitude in every relation and effectively distributes concerns to respective departments
  • Respond to concerns and requests regarding Service Request and Warranty issues, distributing information to appropriate department and following up for completion
  • Performs routine inspections of properties, informing sites of maintenance or any additional concerns

Income Collection/Accounts Receivable

  • Creates, edits, and posts receivable batches in a timely manner and deposits all receipts prior to close each day

Accounts Payable

  • Processes vendor invoices which includes: date stamp, vendor/account codes, creating/editing batches, preparing necessary reports, and submitting completed package with coversheet to Manager for final approval.




Skills/Requirements
  • Prior condo experience a must
  • Administrative experience required, preferably in a property management or condominium management setting.
  • Strong computer skills, including Microsoft Office (Word, Excel, PowerPoint, Outlook) proficiency
  • Strong customer service skills, including exceptional verbal and written communication skills
  • Ability to juggle multiple duties/projects at once
  • Ability to communicate and handle confidential information
