Job Description

Purpose:
Under the direction of  the Employee Services Manager, provides tactical office and reception services for employees and visitors.  Duties include facilitating employee paperwork and record keeping in order to meet to the objectives of the company.  Individual will present a professional image and provide quality customer service including greeting and assi sting employees, data entry on computer system, answering telephones, and other duties as assigned.      

Position Functions / Areas of Responsibility
1. Assist employees/applicants and supervisors, answer basic questions regarding employment and payroll procedures.  Provide customer service regarding:  final check requests, season pass concerns, paycheck information, company benefits and other HR related inquiries.
2. Screen and enter data into HRMS system, including, employment forms such as PANS, Exit Clearance Forms and other paperwork received from employees and managers.  Screen forms for accuracy and completeness.
3. Assist HR staff by making or assisting with general data entry corrections while maintaining audit trails. Audits, recommends and corrects as approved vacation and sick leave accruals.  Coordinate with HR staff, Payroll and Accounting on any employee pay and accounting information and reporting needs.
4. Provide information to outside parties upon request (employment verifications, references, and government reports, etc.) in compliance with company policy and legal requirements.
5. Respond to queries for employee records in order to provide employment information to managers and others needing timely and accurate information.
6. Provide service and support of New Hire Orientation training participants.  Complete paperwork process for new hires.  Answer any employment questions and provides an early customer service example.
7. Maintain employee personnel files in order to have accurate and complete records of all employees. Establish and maintain employee records and legally compliant procedures. Files all paperwork as needed.
8. Prepare numerical reports and analyses from month to month in regard to employee information for managers, workload data, information and audit reports for director.
9. Represent division in resort safety committee. May address committee or conduct presentations concerning assigned safety topics.
10. Order name tags and/or office supplies for HR Office.  Reconcile orders for accounting.
11. Assist and support all HR team employees with any workload or projects that require extra effort to complete on time.
12. Travel: Occasional travel to / from Resort and Millrock location.

Interactions
1. Occasional contact with guests.
2. Direct and continuous contact with co-workers, management, and other departments.
3. Must have the ability to interact at any time with guests and other employees in a pleasant manner and maintain good working relationships with others and all departments at Snowbird.

Education & Experience Requirements
1.  High School Diploma or equivalent required.
2.  1-2 years of job-specific work experience with demonstrated competence.

Skills & Knowledge
Technical: 
Requires a demonstrated basic competency in reading, writing, and math. Requires a working knowledge of the general use and application of computers including Microsoft Office Software, email, and databases. Requires knowledge of fundamental HR policies and procedures as well as the limits allowed within each.  Must possess proven typing skills. Must be able to operate office equipment such a copy machine, fax machine and telephone. Requires ability to learn new computer programs and functions quickly and recall easily.  Must be knowledgeable of and able to understand, follow, explain and apply a variety of human resource procedures, rules, laws and regulations.  Must be willing to approach processes with creativity, and innovation, to make suggestions to continually improve our operating practices.

Administrative: 
Ability to maintain confidential information. Must process a large number of employment forms while managing other ongoing activities and projects simultaneously, with accuracy. Proven record of attending to detailed work accurately and timely.  Must be able to follow instructions within a structured environment.  Must be able to prioritize and coordinate several projects at once. Job activities consist of tasks that are clear cut and often repetitive.  The incumbent’s ability to organize, schedule and manage multiple priorities, projects and programs with attention to detail is essential. 

Working Conditions
Work Schedule:
1.  Shifts vary, may be early morning or late evening, weekends, holidays, depending on business levels.
2.  Monday – Friday, 8:30 am to 5 pm, with some nights and weekends as required by workload and special events. 
  
Mental:
1.  Must be prepared to stay overnight if necessary on occasional times of road closures.
2.  May experience unusual stress from continual work with public, winter conditions, snow night requirements and commuting to/from Snowbird.

Physical:
1. Must be able to lift 15 lbs.
2. General office environment with limited physical activity.
3. Work is routine in pleasant, comfortable surroundings.  General office conditions prevail.  Work is subject to frequent interruptions making continuity and accuracy difficult, frequent exposure to noise.
