About the Position:

Fraunhofer CSE is looking for an outstanding Administrative Assistant with Human Resources experience to perform a wide variety of administrative duties in a dynamic team environment.  This position will be supervised by the Lead Administrative Assistant

Principal Responsibilities:


• Answering internal and external inquiries with a professional attitude and manner.
• Managing the office supply inventory.
• Upkeep of the employee common areas, kitchen, storage areas and conference rooms.
• Acting as main point of contact for building management and outside building vendors.
• Assisting the purchasing team with accounting tasks.
• Working with Contracts and Proposal documentation.
• Demonstrating excellent people skills: patience and respect with complex and non-complex staff members.
• Establishing rapport with staff, partners and visitors, making them feel unique and valued.
• Effectively utilizing and navigating internal resources to arrive at the right solution for the staff member or external party, e.g. computer systems, online resources, and business partner relationships.
• Actively participating in Administrative Improvement Process.
• Defining a problem clearly and escalating concerns appropriately when necessary.
• Interviews: Schedule candidate interviews with hiring managers, which may involve making travel arrangements, using MS Outlook, email, and phone. Maintain electronic candidate files in our on line recruiting tool, Hirebridge, and book interview space. Manage schedule changes in a timely and efficient manner, with appropriate notification to all parties.
• Onboarding: Prepare for first day orientation by scheduling security, safety appointments and assisting with new hire documents.  Preparing documents with appropriate candidate data to send to Human Resources/Headquarters. Raise complex issues to headquarters as necessary.
• Coordinates Network Profile and System Checks: Ensure candidates have the URL for accessing the timecard and payroll systems.  Work with new hire and manager to obtain any missing data or to resolve discrepancies in data when applicable. 
• Project Work: Participate in projects to address administrative process improvements, use of technology, and other Administrative initiatives.

Required Experience:


•  Bachelor’s degree and 1+ years of experience as an administrative assistant
•  Proficiency in MS Outlook, Excel, Word, PowerPoint

• Learn quickly and retain information to assist with decision making.
• Punctuality.
