Job Description

Conference Lodging Coordinator

Purpose
Accept inbound calls from guest inquiries for conference lodging, ground transportation, and vacation packages.  Process reservations for Snowbird lodges, gives information by telephone concerning rates, availability, resort facilities, etc.  Central Reservations Conference Lodging Coordinator is primarily responsible for  handling the lodging and transportation aspects of conference and ski groups  booked by the Group Sales or Ski Tour/Travel departments, as outlined below. Secondary job function is to assist Call Center with inbound transient calls.

Position Functions / Areas of Responsibility
1.    Be sure meeting contact is aware and understands items in contract pertaining to lodging reservations, transportation, porterage, deposits/payments, cancellation, cutoff dates.
2.    Work with vendors, internal /external, to achieve best outcome/experience for customer.  Upselling these options
3.    Work with internal customers to insure all details pertaining to group or individual lodging guests are provided for exceptional experience.   .
4.    Build rates and packages for individual groups
5.    Manages room blocks daily and sets up group rates in Host System
6.    Revises reservation records and document changes to keep records current
7.    Additional projects/duties as assigned that assist in meeting the overall departmental goals.

9.    Travel: Occasional travel to/from resort.

1.    Direct and continuous contact with guests.
2.    Direct and continuous contact with co-workers, management, and other departments.
3.    Must have the ability to interact at any time with guests and other employees in a pleasant manner and maintain good working relationships with others and all departments at Snowbird.

Education & Experience Requirements
  High School Diploma or equivalent required.
  College degree in related field preferred.  Additional related work experience may be substituted for education.
  1-2 years of job-specific work experience with demonstrated competence.

Skills and Knowledge

Technical

Requires good working knowledge of SMS/Host system.  Basic skills in Microsoft  Office software.  Basic knowledge of Delphi meeting/conference mgmt. system preferred, not required.

Administrative

Must have exceptional organizational skills, with the ability to prioritize and manage multiple and conflicting demands.  Must be able to complete assignments and meet deadlines. Requires skills in problem solving, trouble shooting, decision making.  Must be self-motivated and be able to work independently.  Requires some exercise of judgment within policy guidelines and without supervisory approval.

Ability to handle, process, maintain and protect guest personal information, including credit card information, in compliance with all company or department policies and procedures according to PCI rules and requirements. This includes privacy and confidentiality, reporting, storage and disposal of sensitive information.  Will not share or disclose any guest personal or financial information to anyone unless authorized by the guest, manager or company or unless disclosure is permitted within departmental policies and procedures.
