Job Description

$13 DOE

Purpose:

Under the direction of the Purchasing and Receiving Managers:
Responsible for processing and finalizing purchase orders for the  majority of resort departments, while arranging  accurate vendor delivery, inventory,  data entry, and  receipt of purchased goods and services.

Position Functions / Areas of Responsibility

1. Responsible for all data entry of food and beverage orders delivered to Snowbird.
2. Provide communication to outside vendors, department managers and associates to arrange delivery and assure accuracy of all food & beverage items.
3. Reconcile invoices and purchase orders to finalize payment of product in conjunction with accounting.
4.  Act as a liaison between product vendors and Snowbird Management to resolve any variances in billing or inventory.
5.  Place and create purchase orders for the resort at the manager’s request, using internal software and email correspondence with all parties involved.
6. Expected to work independently of management to settle and maintain advancement of the work flow that must be subject to completion on a daily basis.
7.  In partnership with the Commissary Manager, the agent will conduct a monthly inventory balancing of the $901,000 in liquor and $267,000 in food and dry goods inventory stored in the commissary.  
8.  Act as the primary correspondent with food and beverage vendors to request additional orders, credit memos and invoices to balance the purchasing accounts and insure urgently needed product arrive at Snowbird to meet the requests of all restaurant chefs and managers.  
9.  Will use accounting and invoicing software to scan all outstanding invoices and receiving materials to the accounting department in Salt Lake Valley.
10.  Assist the Purchasing Manager with the considerable independent research necessary for price bidding on hundreds of items from competing vendors
11.  Assist the retail and hard goods purchasing agents with invoice receiving when necessary.


Travel: Occasional travel to/from resort.


Interactions
1. Occasional contact with guests.
2. Direct and continuous interaction with co-workers, management and all restaurants and service departments at Snowbird.
3. Must have the ability to interact at any time with guests and other employees in a pleasant manner and maintain good working relationships with others and all departments.


Education & Experience Requirements
1       High School Diploma or equivalent required.
2.      1-2 years of job-specific work experience with demonstrated competence.

Specific Requirements:

1.    Must be at least 18 years of age.


Skills & Knowledge

Technical:

1.    Knowledge of Microsoft Word, Microsoft Excel, Adobe Acrobat
2.    Willing to train and master the Snowbird Accounting and Purchasing Software

Administrative:

Must be reliable, mature and able to work with minimal supervision.  Requires some exercise of judgment within policy guidelines and without supervisory approval.  Requires some problem solving and initiation of activities within job description and responsibility limitations.  Requires strong understanding of other Snowbird operations.  Should be willing to accept responsibility for own actions.

Working Conditions

Work Schedule:
1.      Monday – Friday, 8:30 am to 5 pm, with some nights and weekends as required by workload and special events.
Mental:
1.      Must be prepared to stay overnight if necessary on occasional times of road closures.
2.      May experience unusual stress from continual work with public, winter conditions, snow night requirements and commuting to/from Snowbird.


Physical:
1       General office environment with limited physical activity.
2.      Work is routine in pleasant, comfortable surroundings.  General office conditions prevail.  Work is subject to    frequent interruptions making continuity and accuracy difficult, frequent exposure to noise.
