Job Description

Summary: Provides administrative support to AMS Department.  Duties involve use of technical terminology, composing of correspondence, and maintenance of confidential records, knowledge of Organization and Department policies and procedures.  Screens incoming calls and arranges appointments and meetings.  Works under general supervision.

 

Essential Duties & Responsibilities:

  • Provide clerical and administrative support to the team including filing, copying, pick up and distribution of mail, delivery of messages, including screening telephone calls, greet visitors and relay messages to appropriate parties
  • Ensures accuracy and accountability in the AMS billing process
  • Liaison between AMS operations and OSC to ensure seamless work order and billing process
  • Coordinate with Supply Chain on PO management and reconciliation to service requests
  • Managing change order work process for AMS jobs
  • Ensure customer invoice requirements are being adhered to
  • Manage work processes to present accurate invoice to SM/OP for approval
  • Follow  up with Warranty credits
  • Review Tech’s time for accuracy
  • Track Freight/Hotshots
  • Track adders
  • Assist in the Fusion AMS Billing “Change Management Process”
  • Other duties as assigned by management

 

Required Education/Experience:

  • High School Diploma or higher

 

Preferred Experience:

  • 2 -4 years working experience in a coordinator or customer service role
  • Proficient using complete Microsoft Suite (Word, Excel, etc.) and PC skill
  • Proficient with email and calendaring system; Microsoft Outlook

 

Physical Strain:

  • Standard requirements.  Bending, squatting, climbing, stooping, twisting and reaching will all be required occasionally in this position
  • Sitting for long periods of time
  • Lifting 10 pounds maximum with occasional lifting and/or carrying of objects weighing up to 10 pounds

Special Requirements / Additional Comments:

  • Must be able to work under pressure
  • Must be able to work with the team in developing improved work processes for the department
  • Desired:  Driver’s License with good driving record
