Job Description

Friends University seeks candidates to provide administrative support and office management duties for the Student Affairs department. 

 

Major duties and responsibilities include:

  • Provides administrative support which includes, but is not limited to, processing mail, typing letters, memos, proposals and reports,  maintenance and creating of filing system, purchasing office supplies and office items, attending meetings, taking and distributing minutes, and maintaining calendars, scheduling meetings and/or travel arrangements.
  • Responsible for professional office appearance in office area.  Answers telephone and directs callers to appropriate personnel or department.  Receives visitors and students and directs them to appropriate personnel.  Assists customers with basic questions and requests.
  • Responsible for assisting Student Affairs Directors and staff will all budgetary items; including, but not limited to, prepare purchase requisitions and supporting documentation, expense reports, printing Budget Status Reports once a month, helps with budget creation preparation, and budget submission.
  • Maintains and operates various machines and equipment used by the department.  Attends training sessions and may serve on committees. Also responsible for upkeep of Student Affairs website.
  • Responsible for upkeep and purchasing of new supplies for the I.D. machine. Oversees the printing and distribution of I.D.’s for faculty, staff & students.
  • Provides assistance with setups, teardowns and moving of furniture as requested by the

Director of Casado Campus Center & Intramural Programs. Working with set-ups and teardowns requires the ability to lift up to 25 pounds.

This position has no supervisory responsibilities but assists in the training, scheduling and coordinating of student associates.

Work hours are during normal office hours Monday through Friday; 8am-5pm. Overtime as needed and can include some evening and/or weekend hours.

Skills/Requirements

Candidates will be expected work as a team member in the Student Affairs division, serve as a role model for students and maintain an appropriate professional relationship with students.  Excellent written, oral and interpersonal communication skills necessary. Must possess ability to maintain confidential information in a professional manner, and to have a positive and productive working relationship with co-workers and University personnel.  

High school diploma or equivalent is required; associate’s degree or college coursework is preferred.  Minimum of two years administrative assistance experience required; four years preferred.  Applicant must be proficient in the use of MS Office products, especially Word and Excel, and also be proficient with social media applications. Selected applicants must complete online testing of these skills before consideration.  Experience with Prezi and Banner system preferred.
