Summary of Job Title: The Training Schedule Coordinator effectively aids the Professional Services Teams in all aspects of clerical work and administrative/business details.
Essential Duties and Responsibilities:
Create, modify, and monitor Parature tickets for all scheduled training activity to ensure that Parature tickets correctly reflect all activity on the Training Calendar as well as the timely attachment of training documentation to the ticket (includes all onsite, online, and facility training)
Processes advance requests for onsite training
Processes expense reports (includes verification, tracking, acquiring approval, and forwarding to accounting)
Maintain accurate information in Excel to track advances and expenses
Prepare Change Order Forms for additional purchase of Claims Training including communication with client, Orders, and Claims Project Management
Work closely with Project Managers to schedule training
Work directly with clients to schedule training
Stock and prepare snack area for facility training classes
Makes name tags (including their certification and job positions), seating arrangements, and diplomas for facility training
Greet facility training class attendees on the first day of classes
Send out confirmation training letters for onsite and facility training
Scans and saves training evaluations on public folders
Maintain accurate contact list for the Training Department
Maintain a detailed and accurate Training Calendar to include clinic name, attendee name(s), contact person, and phone number
Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required including computer skills/level.
Knowledge of modern office procedures and methods including telephone communications, office systems, and record keeping
Skill to use a personal commuter and various software packages (Office, Outlook, Excel)
Skill to type 55 words per minute
Ability to establish priorities, work independently, and proceed with objectives with minimal supervision
Ability to handle and resolve recurring problems
Skilled in verbal, written, and personal communications
Education and/or Experience or both: High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
