Job Description

A great administrative job with a great program!  Celebrate Smiles is a school-based dental program in Dane and Iowa County that screens children to see if they have cavities and find out if they would benefit from dental sealants and fluoride varnish.  Dental staff from Access screens participating children in 4K through fifth grade at their schools and provide sealants and fluoride varnish, and treatment, as needed.  Screening and treatment may be done using portable dental equipment at the school site.

This position works with this program and requires good administrative skills and the willingness to learn dental assisting skills, if needed. 
• Works with the Clinic Manager and staff to ensure patient consent has been obtained.
• Monitor school calendars and works with the Celebrate Smiles Clinic Manager to coordinate screening days, preventive services and restorative services.
• Determines the student patient flow on the day of services and coordinates with school staff, the movement of children to and from their classrooms in a timely manner with minimal disruption to their teachers and classmates.
• Orders supplies to ensure adequate inventory. 
• Gathers and transports supplies and dental instruments to the school.   
• Handles x-rays, exposing, uploading and then synchronize these x-rays to the computer system.
• Performs initial disinfection of dental units and instruments after use and transports them back to dental office for completion of the sterilization process by another staff member. 
• Provides patient education and postoperative instructions.
• Travels to participating schools throughout Dane/Iowa Counties.
• Fills in for other Celebrate Smiles staff, as needed.
• May work as a dental assistant, as needed.  (Training available, if needed).

Position Location:  Varies by day.  This position works with the Celebrate Smiles Program, which during the school year, travels to participating schools in Dane and Iowa Co.  When not in the schools, this job will work primarily at our East Washington Avenue dental clinic in Madison, WI.  In addition, the position may work at other Access Dental sites, as a Dental Assistant. 

Hours:  Monday thru Friday, 40 hours per week.  Day time hours will vary depending on school schedules, but will be 8 per day.       



• A minimum of a High School Diploma or equivalent.
• At least one year of experience working in a dental clinic.
• Prior experience using Microsoft Office (to include Word and Excel, Email, Internet and other computer applications, as needed).
• Be able to lift up to 30 pounds and occasional lift up to 50 pounds.


• Certificate in dental assisting from an accredited technical college.
• Fluency in English and Spanish or English and Hmong.
• Prior experience in a leadership role.
• Prior experience working with private insurance, Medicaid/BadgerCare.
• Prior experience using electronic dental records.
