Job Description

Our Hudson, Ohio office seeks a senior Administrative Assistant to provide support to the local management staff.

Our successful candidate will have experience as an administrator within the Architecture, Engineering or Consulting industry.

Responsibilities and Duties:

  • Tracks and reconciles Project Budgets.
  • Interacts daily with the Project Manager and project team members.
  • May perform duties relating to Project Contract Administration.
  • Compiles and coordinates Project Work Authorization.
  • Tracks Project Deliverables for the Project team.
  • Distributes and tracks Project Billing Worksheets and invoices.
  • Verifies pre-bills are complete with attached supporting documentation.
  • Responsible for Proposal tracking and Proposal administration.
  • Prepares and distributes reports to project team members.
  • Tracks Account Receivable / Accounts Payable project invoices.
  • May perform procurement activities as the purchasing representative for the office.
  • Creates and updates all new plans for the project team.
  • May have contact with Water Companies and Local Municipalities.
  • Participates in Project Manager group meetings.
  • Responds to client and/or client representative requests.
  • Performs other related duties as assigned.
  • High school diploma or equivalent. An Associates or Bachelor’s degree in Business Administration, Finance, Accounting or a related discipline is a plus
  • 5+ years of progressive experience providing administrative support in the Architecture, Engineering or Consulting industry. Must have previous experience using Microsoft Excel to produce financial spreadsheets.
  • Advanced computer/database skills are required. Intermediate knowledge of general accounting principles and procedures are critical for success in this role.
  • Excellent organizational, delegating, interpersonal, time management and client service skills are required.
  • Must be a self-starter and a team player.
  • A Background Check is required.
