Responsibilities

            Receptionist:

  • Answer all calls timely and professionally and transfer calls appropriately
  • Welcome visitors by greeting them, in a professional and courteous manner and direct them by giving instructions or notifying company personnel of visitor arrivals
  • Maintain security by following procedures and issuing visitor badges
  • Sort and deliver mail company-wide to several locations daily
  • Assist accounts payable with invoice sorting and date stamps
  • Manage on-line Fed-Ex mailings
  • Maintain postage meter and outgoing mail; assists employees with mail
  • Keeps up-to-date on PO and expense systems as they related to Receptionist purchases
  • Manage petty cash
    Maintain safe and organized reception area
  • Oversight of office supplies including ordering, distributing and management
  • Orders and coordinates lunches for on-site meetings/interviews
  • Maintains company services for lab coats, document shredding, plant services, etc.

            Administrative Assistant:

  • Update department organizational charts
  • Scheduling interviews / travel for candidates / arrange travel for employees
  • Maintain company phone list
  • Coordinate lunch orders for company
  • Maintain and mail Investor Mailing Kits. Hard copy packets that go out 5-6 a month
  • Prepare information for  investor meetings
  • Update the patent, poster and publication area on Array’s website monthly using Photoshop
  • Update Array Fact Sheet using PowerPoint
  • Collect signatures/notarize patent documents
  • Help manage paper records stored at various locations, including
  • Event coordination for HR and Recreation Committee
  • Coordinate online employee move process
  • Assist with additional administrative projects as needed by various departments
  • Assist scientists with editing Power Point presentations/templates 

          

Skills and Requirements
  • High school diploma required, Associates degree a plus
  • 1 year experience as a receptionist in a professional environment
  • Ability to work 7:45am-4:45pm Monday-Friday with one hour lunch
  • Proficient computer skills in MS Office, Outlook, Word, Excel, PowerPoint (Photoshop a plus)
  • Professional behavior with a positive attitude and willingness to contribute as needed
  • Ability to effectively interact with employees at all levels
  • Demonstrates excellent verbal and written communication skills
  • Excellent organizational skills
  • Ability to multi-task and work autonomously
  • Excellent customer service skills
  • Willingness to learn new tasks and accept additional job responsibilities as requested
  • Notary helpful
