Job Description

For over 30 years, Vein Clinics of America (VCA) has been dedicated to the treatment of all aspects of Varicose Vein Disease (VVD).  Acknowledged as experts in the field, VCA has helped lead advances in the treatment of VVD.  And with over 50 clinics across 15 states, VCA is growing.  Due to a recent promotion, Vein Clinics of America (VCA) is seeking a dynamic, results-driven medical Office Manager, with excellent customer service skills, to manage the operations and administration at the new clinic we will be opening in Tysons Corner, VA.  The ideal candidate will have experience as a supervisor/manager within a medical office setting.

 

Responsibilities in this position will include the following: 

 

  • Work with Case Manager Specialists to facilitate the acquisition and retention of patients.

 

  • Schedule staff to meet operational and medical care requirements of the clinic and the patients; manage the patient schedule to maximize the use of provider time and revenue production.

 

  • Ensure the proper input of treatments, payments and patient data into database. Ensure that computer files and all patient charts are kept up to date.

 

  • Maintain patient retention records in charts and in Case Management (MM) program. Monitor the progress of each patient to ensure the completion of treatment. Utilize the patient recall system. Monitor and ensure patient satisfaction.

 

  • Facilitate consult conversion by assisting the patient in developing an acceptable financial plan for payment of treatment, and by ensuring that the consult is comfortable with all aspects of treatment such as compliance, convenience and cost.  Be able to fulfill the duties of the Case Manager on a short-time basis, including inquiries and follow-up.

 

  • At the direction of the Director of Patient Financial Services, manage the aged receivables and ensure the timely collection of past due accounts. Collect all money due and owing from the patient at the time of treatment.

 

  • Ensure that the Daily Close and other reports are completed and submitted in a timely fashion.

 

  • Ensure that all VCA policies and procedures are distributed, understood and implemented by all clinic staff members.

 

  • Conduct regular staff meetings to communicate new ideas, resolve problems, obtain feedback and maintain the overall effectiveness of the clinic staff.

 

  • Maintain the appearance and function of all office equipment and facilities.

 

  • Other duties as required/assigned.

Skills/Requirements
  • BA/BS strongly preferred
  • Minimum 1 year of  medical office and billing experience
  • Previous management or supervisory experience
  • Knowledge of medical software, scheduling, insurance processing and collections preferred
  • Strong communication, interpersonal, and organizational skills
  • Knowledge of sales and business development
