Job Description

 

Primary Purpose of the Position

     The primary function of this position is to provide overall administrative support to the Human Resources Department and Contact Center leadership staff.  This position will handle confidential, discretionary information, and will interface and communicate with other departments and team members on an ongoing basis.

  • Coordination & scheduling of meetings and appointments

 

Essential Duties & Responsibilities

  • Filters a high volume of incoming inquiries from walk-ins, phone lines, and email.
  • Handles general administrative tasks such as sending faxes, scanning, filing, correspondence, phones, and ordering supplies.
  • Provides analytical and specialized administrative support of a non-routine, non-repetitive nature to leadership of complex details and advanced administrative duties.
  • Provides excellent customer service by responding to internal and external inquiries with prompt and accurate information, while maintaining confidential information.
  • Opens, sorts, and distributes incoming mail.  Assists with the preparation of outgoing mail and packages.
  • Coordinates complex activities between departments and team members
  • Contacts company personnel at all organizational levels to gather information, analyze data, and prepare reports.
  • Assists in processing employee changes and updating records.
  • Answers basic HR related questions in accordance with company policies.
  • Handles a high volume of paperwork including maintenance of team member files and personnel forms.
  • Maintains bulletin boards and postings for the department and facility.
  • Prepares new team member orientation packets/department materials as needed.
  • Assists with benefit administration enrollment including coordination & paperwork.
  • Supports federal and state compliance regulations as well company policies.
  • Handles other duties as assigned by the Human Resources Supervisor and/or Contact Center Manager.

 

 

Educational and Experience Requirements 

A High School diploma or GED; and a minimum of 2-3 years of administrative experience and/or training; or equivalent combination of education and experience is required.  Previous experience in a Human Resources department is preferred.
