Job Description

This is a Part-time, temproary position from either 8-12 or 1-5 daily.  The wage scale for this position is $15.50 - $18.50 per hour.  Anticipated length of employment - 6 months.  We are looking for an experienced level administrative assistant who is highly motivated and has HR experience.

Technical Clerk

I.PROGRAM/POSITION IDENTIFICATION

The Cooperative Agricultural Support Services (CASS) is a Joint Powers Authority that assists in protecting and supporting California's agricultural industry and the consumers of its products by providing services and staff who fairly, impartially, and dependably carry out their work.

Under the direction of federal, state, county, board, commission or CASS staff, the incumbent in this position provides clerical support the corporate office.

The position is responsible for a variety of general office duties and data entry with various levels of complexity and difficulty. These duties are performed with a high degree of professionalism, integrity, judgment and initiative. The work typically requires a detailed knowledge of the programs, policies, and activities of the program to which the incumbent is assigned.

II. ESSENTIAL AND NONESSENTIAL FUNCTIONS

A. Essential Functions:

Under direction of a designated supervisor, as well as operating within established guidelines and procedures, responsibilities of this position include, but are not limited to, the following:

  1. Processing Documents – 30%
  • Process Personnel Action Forms
  • Follow up with benefits enrollment
  • Preparing new hire packets

 

  1. Clerical Support – 25%Help manage special projects (IIPP rollout, workers compensation, archiving)
  • Verify annual evaluations and prepare schedules
  • Scheduling interviews
  • Support for HR Managers while performing duties in the field (on the road)
  • Assisting with Disability Insurance/ SDI/EDD requests
  • Employee background checks
  • Overall administrative support for HR Staff
  • Post advertisements on website
  1. Answer Telephone – 10%
  • Answer telephone and direct calls to appropriate individual.
  • Support HR department and respond to routine requests for information.
  • Upon direction, maintain logs of telephone calls and messages.
  1. Maintain Records – 10%
  • File certificates, reports, correspondence and other documents.
  • Update office and desk manuals, procedural manuals and bulletin boards.
  • Annually review, establish, purge and destroy files based upon retention schedules.

B. Nonessential Functions

  1. Other Duties as Required – 25%
  • Other assignments, projects or duties deemed necessary by management.

III.WORK ENVIRONMENT

Duties for the position are performed inside of buildings in an office environment. The workspace may be a cubicle or desk equipped with telephone, desktop computer, printer, chair and shelving for filing manuals, reports and books.

IV. INDIVIDUAL REQUIREMENTS

The incumbent in this position must be able to establish and maintain effective working relationships; work well under pressure; work independently; and, work cooperatively with other staff members in completing assigned work and meeting required deadlines.

V. PHYSICAL REQUIREMENTS

The incumbent in this position will be required, with or without reasonable accommodation, to

Operate a desktop computer using a keyboard and mouse; employ repetitive arm and wrist motions; occasionally bend, stoop, twist, reach; and, lift file or supply boxes of up to twenty pounds.
