Job Description

Georgia Military College announces an opening for an Administrative Assistant to the President. The Administrative Assistant performs duties that include management, coordination, research and a variety of other duties in order to relieve and assist the President.  The individual in this position must have good general knowledge of the Institution, be able to exercise good judgment in decision-making and possess excellent oral and written communication skills.  Tasks are often performed independently and carried out to completion.  The position assists the Office of the President with operational assessments, budgetary accountability and controls, inventory control and other special assignments.  The Administrative Assistant must have the ability to interact favorably with the general public. The individual in this position must promote and contribute to an atmosphere of teamwork and cooperation.  Hours may fluctuate based on priority of workload or schedule.  The work often involves dealing with tight time deadlines and sensitive issues.

 

Duties and Responsibilities

  • Assists the President in staff capacity by coordinating office services such as records control, information gathering, budget control and office workflow.
  • Relieves the President of routine detail and exercises independent judgment and decision-making in his absence as the situation requires.
  • Collects, compiles and prepares materials and provides administrative oversight and support for the President concerning unit planning and assessment, Board of Trustees meetings, office and division budgeting, statistical data, historical information, personnel data or specialized information upon request of either the President or Chair of the Board of Trustees. Ability to take accurate notes for transcribing is an absolute requirement.
  • Processes highly sensitive and confidential reports or correspondence.
  • Plans and coordinates meetings involving various on-and-off campus groups.
  • Maintains activity follow-ups on all staff activities and assignments, as well as other correspondence for the Office of the President.
  • Drafts and composes routine correspondence on behalf of the President utilizing PCs.
  • Keeps the President informed and advises him of formal and informal news, pending circumstances or events, which have or may have impact on the institution.
  • Promotes and contributes to an atmosphere of teamwork and cooperation.
  • Performs other job-related duties as assigned by supervisor.

Minimum Requirements

  • A Bachelor's degree in Office Systems, Business Administration or related area with three to five years or relevant experience OR  an Associate’s degree in Office Systems, Business Administration or related area with seven to ten years of relevant experience, either in support of a President or CEO.
  • Excellent working knowledge of various computer software applications, i.e. word processing, spreadsheets and graphics.  Must possess excellent oral and written communication skills, and demonstrate the ability to make sound decisions and maintain confidentiality.

Experience in management and supervision in support of a President/CEO is strongly preferred.

 

This position is open immediately and will remain open until filled. The ideal candidate will be able to start on April 1st.
