Job Description

A growing company located in Boulder, Colorado has an excellent opportunity for an Administrative Assistant/Senior Administrative Assistant. This position will be primarily supporting Commercial Operations within Life Sciences, but will also support the rest of Life Sciences and also our Medical department. The Assistant is responsible for handling calendar coordination, travel arrangements, meeting planning, logistical assistance in trade shows, and assistance in administration of Salesforce.com. Level will be commensurate with experience.

Key Job Responsibilities

  • Perform all administrative duties to support the Commercial Operations team in Life Sciences
  • Arrange complex and detailed domestic and international travel plans and itineraries for the team, and compile documents for travel-related meetings (includes air, ground, hotels, meeting registration, visas, etc.)
  • Prepare all logistics related to onsite and offsite meetings as requested by team members
  • Develop and prepare presentation materials, agendas, correspondence
  • Manage and maintain schedules as desired by executive team members
  • Ship materials, as necessary, to the field team
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
  • Collaborate with other administrative support individuals to achieve corporate objectives
  • Work on special projects as needed




Skills/Requirements

Education

High School or equivalent certification is required.

Skills and experience

  • Qualified candidates must have 2+ years of related experience as an Administrative Assistant or equivalent work support. Prefer at least 3 years of experience with complex travel and scheduling assignments.
  • Excellent written and verbal communication skills, expert multi-tasker, and extreme detail-orientation
  • Strong organizational skills are essential
  • Must have the ability to work within an environment of frequent interruptions and conflicting priorities
  • Able to observe strict confidentiality in all aspects of services provided to the team, especially with regard to clients
  • Must be able to interact successfully with internal departments and external entities using diplomacy and discretion
  • Must be proficient in MS Office and PowerPoint, and demonstrate the ability to quickly pick up new software, e.g. Salesforce.com
  • Prefer candidate with experience working for a technical, biotechnology, scientific, or engineering organization 

Work Environment

Work is in a typical cubicle office environment. Will be required to be able to move between three buildings located adjacent to each other.
