Job Description:                                 CENTRALIZED SCHEDULER

 

Department:                                         Centralized Scheduling

 

Responsible To:                                   Patient Access Manager

 

Education/Training:                            High School graduate or equivalent required. 

 

Experience:                                           2 Years hospital, medical or physician office experience pref.

 

Skills & Abilities:                  Computer literacy, typing and filing skills req. Good communication skills req. Medical terminology, CPT coding, ICD-9 coding, medical insurance knowledge, and 10-key skills.

 

Physical Requirements:                      Must be able to sit for long periods of time.  May be required to occasionally lift up to 50 lbs; occasionally required to bend, climb and kneel.  Must be able to see, hear and have the use of both hands.

 

Environmental Conditions:               Primarily works inside; occasionally exposed to noise, fumes & dust.

               

Occupational Exposure:                    Category III = Job involves tasks or procedures that have no exposure to blood and other potentially infectious materials during the performance of duties.





Skills/Requirements

ESSENTIAL RESPONSIBILITIES:            

  1. Responsible for efficient, expedient, and accurate procedure scheduling. Effectively communicates with patients, families, healthcare team members and physicians both in person and via telephone.
  2. Requests an accurate clinical history as necessary for the exam.  Provides instructions, dietary restrictions and exam specific preparations to the individual scheduling the procedure.
  3. Reviews and evaluates scheduled appointments for completeness and type of test ordered.  Ensures compliance with applicable regulatory guidelines and hospital policy.  Assists with Pre-Registration process by obtaining demographic information and insurance payer information from the individual scheduling the procedure.
  4. Maintains an awareness of the Delinquent Physician list and does not schedule invasive procedures for physicians on this list.
  5. Receives physician orders and schedules procedures by both telephone and electronic media.  Obtains provisional diagnosis and patient history to substantiate the requested procedure.
  6. Contacts “No Shows” on a weekly basis to reschedule their procedures.
  7. Communicates scheduling concerns or problems to Centralized Scheduling Lead.
  8. Performs all other job related duties as assigned or requested by the Manager or Director.
