Job Description

Provides office management support services, human resource administration support or security support. Assembles and analyzes fairly complex information or data. Operates under general supervision. May be assigned duties and direct activities such as typing or word processing documents, filing, answering phones, ordering supplies, mailing correspondence or packages, or other services. Requires a high school degree and a minimum of 6 years experience in the field or related area. An advanced degree may substitute for minimum required years of experience.

In addition to typing, filing, scheduling, performs duties such as coordination of meetings and conferences, obtaining supplies, coordinating mailings, working on special projects. Also, answers non-routine correspondence and assembles confidential and sensitive information, greets visitors and maintains visitor badges. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload, recommends changes in office practices or procedures.

 

Essential Duties and Responsibilities:

  1. Schedules and organizes complex activities such as meetings, travel conferences and department activities for all member of the department
  2. Responsible for reception and telephone duties, including signing for front desk packages
  3. Establishes, develops, maintains and updates filing system. Retrieves information from files when needed.
  4. Sorts and distributes mail.
  5. Acts as liaison with other departments and outside agencies, including high-level staff. Handles confidential and non-routine information and explains policies when necessary.
  6. Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects.
  7. Provides office management support services, human resource administration support or security support.
  8. Oversees administrative procedures and processes for assigned area
  9. Updates project financial information from reports and prepares weekly updates.
  10. Documents material receivables in resource planning tool.

  

 

  





Skills/Requirements

 

Skills and Abilities Required

  1. Excellent verbal and written communication skills required
  2. Professional appearance and telephone manner is essential
  3. Must have good command of the English language, oral and written
  4. Must be able to type 40-45 wpm

 

Computer Equipment and Software Requirements:

  1. Must have knowledge of secretarial, office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through 3+ year experience.
  2. Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software.

 

Education/Experience

Requires a high school degree and a minimum of 6 years experience in the field or related area. An advanced degree may substitute for minimum required years of experience.
